Sequences
Send lessons one after another automatically — for onboarding, training programs and follow-ups.
A sequence sends lessons to learners one after another on a schedule. For example: every new hire gets a welcome lesson on their first day, then a new lesson every Monday for six weeks. Learners who don't finish get your account's reminders.
Sequences belong to a space and can only send lessons from that space. Editors of the space create and manage them; viewers can see them.
How a sequence works
- A trigger puts a learner into the sequence — for example when they're added as a learner or to a group, or after they complete another lesson. See Triggers.
- The sequence sends the steps — lessons — one by one, by email, Slack or SMS, each with the learner's personal link.
- Timing decides when each step is sent. See Timing and reminders. Learners who haven't finished get your account's reminders.
- When the last lesson is sent (or completed), the learner has finished the sequence. That can start another sequence.
Each learner goes through a sequence once.
The Sequences page lists the sequences of the space with their trigger, lessons, status and learners. A sequence with a challenge shows it below its name — the badge, the challenge title and deadline; click it to open the challenge.
Creating a sequence
- Go to Sequences and click New sequence.
- Name it and choose its language. Only lessons in this language can be added. You can change the language until the first lesson is chosen.
- In the editor, set the trigger, then add lessons with Add lesson (you can select several lessons or folders at once). Drag a lesson to change the order — grab it anywhere: its invitation, the lesson or its timing. A sequence can have up to 30 steps.
- Set the timing of each step and the channel in Sequence settings (Settings at the top right).
- Click Start sequence.
You can also create a sequence from the Lessons page: select lessons and choose Sequence → Create new sequence.
Only published lessons can be sent. Grizlet lists anything that needs fixing before the sequence can start.
The sequence editor
The sequence is shown as a list from top to bottom: the trigger, then each lesson as a box — its title, the number of cards and the score needed to pass, and how learners are doing: Sent, In progress, Finished and Failed (didn't reach the pass score), with a fan of its first cards on the right. Only a learner's first try counts. Above each lesson you see its invitation — the subject (for email) and the message learners get, or the default text if you haven't written your own; click it to edit. The icon in the invitation shows the channel it's sent by, and the lesson sits right below it. When the sequence sends by Slack or SMS, switch the preview between that message and the Email learners get when they can't be reached that way. Between one lesson and the next invitation, a bubble shows when the next lesson follows. Hover over the bubble and use + to insert a lesson there. Right-click a lesson for its settings, to choose a different lesson (Change lesson…) or to remove it from the sequence.
Each lesson's invitation, the lesson and the timing of the next lesson are grouped together, because you edit them together.
Above the sequence, switch between views:
- Flow — the sequence itself, as described above.
- Recent activity — what the sequence has sent recently.
- Upcoming activity — everything still planned for learners in the sequence: each remaining lesson and when it will be sent, lesson deadlines and the challenge deadline. Choose a learner at the top to see their whole plan. When the next lesson waits for the learner to finish the previous one, you see that instead of a time (for example 1 week after completing “Onboarding”, at 09:00, Mon–Fri). While the sequence is paused, nothing is sent, so the times move.
- Learners — a table with a row for each learner (name and Email) and a column for each lesson. Each cell shows the lesson's state for that learner: Not assigned (the sequence hasn't sent it yet), Assigned, In progress or Finished (the learner's first try counts). Next to a finished lesson with questions is the learner's score — green when they reached the lesson's pass mark, red when they didn't. The Result column shows whether the learner met the sequence's completion criteria: Achieved, In progress or Failed; the buttons above the table show only learners with one result.
- Statistics — how many learners are in the sequence in total and at each step.
With challenges turned on, a Challenge card at the end of the sequence adds a deadline and a reward (Add a challenge), and the Learners tab gets a Challenge column.
Settings at the top right opens the sequence settings. To delete the sequence, use ⋯ next to it → Delete.
A lesson that's used in a sequence (as a step or a trigger) can't be deleted.
