Deadlines and reminders

Give learners a date to finish by and let Grizlet nudge them automatically.

Deadlines

A deadline says by when a learner should finish a lesson. You set it when you send the lesson — in Share, with Share lesson on a learner's profile, or for each lesson of a sequence:

  • No deadline
  • Within 1 working day, or 3, 7, 14 or 30 working days
  • On a date… — pick a date (not in sequences)

Working days

Deadlines count working days (Monday to Friday) — weekends extend them. A lesson shared on Friday within 1 working day is due on Monday; within 3 working days from Wednesday is due the following Monday. Public holidays count as working days.

The deadline is the end of that day in your account's time zone (set in General). It's saved as a date for each learner.

A lesson itself has no deadline — Share starts with No deadline and you choose one each time you send. When you share several lessons at once, they all get the same deadline.

What learners see

  • The invitation says Please complete it by Friday 7 November.
  • The start of the lesson shows Complete by Friday 7 November (after the deadline: Was due … — you can still complete it).
  • My overview shows the deadline next to the lesson. The lesson with the nearest deadline — or one that's overdue — comes first, at the top of the page.

Learners can still finish a lesson after its deadline; it's then marked Completed late.

What counts as completed

A lesson is completed on time when the learner finishes it for the first time before the deadline — whatever the score. Whether they passed is shown separately. Taking the lesson again later doesn't change it, because the first result counts.

Changing a deadline

  • Share the lesson again with a new deadline — it moves for learners who haven't finished yet. Sharing again with No deadline keeps the deadline they already have.
  • On a learner's profile, click Set or Change next to the lesson's deadline, or Remove deadline.

Where you see deadlines

  • Learners — the Overdue card lists learners with a lesson past its deadline.
  • Learner profile — the Deadline column: Due 7 Nov, Overdue · 3 days, On time · due 7 Nov or Completed late · due 7 Nov.
  • Lesson results — the Deadline column and the Overdue filter.

Reminders

Learners who haven't finished their lessons get reminders automatically — for every lesson they were sent, whether by Share or by a sequence. You don't set them up per lesson or per sequence.

One message for all lessons

A reminder is a single message listing all of the learner's unfinished lessons:

  • overdue lessons first, then the nearest deadline, then the lessons waiting longest,
  • each with its length and deadline; a lesson the learner has started says how far they've got (you're 40 % through),
  • the total time, e.g. about 12 minutes in total,
  • a button to My overview — or straight into the lesson when there's only one (or your plan doesn't include My overview).

The subject follows the most urgent lesson: past due, due today, due soon, or simply waiting. The message comes from your account's name, and replies go to your contact email.

When reminders are sent

Lessons without a deadlineFirst reminder 2 working days after the lesson is assigned, then every 3 days — at most 3 reminders.
Lessons with a deadline2 days before the deadline, on the day of the deadline, and once the day after if the lesson is still unfinished.
How oftenAt most one message every 2 days — invitations count too. A reminder that would come too soon waits.
What timeOn weekdays at 9:00 in your account's time zone.

Reminders stop when the learner completes the lesson, when you unassign it, when the lesson is unpublished or archived, or when its reminders are turned off.

These rules are the same for every account for now.

Turning reminders off for a lesson

In Lesson settings, turn off Remind learners to complete this lesson — useful for optional lessons such as tips or news. Lessons with a deadline are always reminded.

Channel

Choose in Account settings → Reminders whether reminders go by email, Slack or SMS. If a reminder can't be delivered that way, it's sent by email.

Where you see reminders

  • Learner profile — sent reminders in Recent activity, the next planned reminder in Upcoming activity.
  • Dashboard — planned reminders for lessons in the space in Upcoming activity.
